The migration process involves several key steps: preparing for migration (reviewing your Keap setup, defining objectives, and backing up data), migrating contacts and custom fields, migrating pipelines and deals, migrating automations and campaigns, migrating landing pages and forms, migrating appointments and calendars, performing final checks and training, and finally, decommissioning Keap.
Preparation is crucial. Start by reviewing your current Keap setup, identifying key assets (contacts, fields, automations, etc.), and documenting your existing workflows. Define your migration objectives, prioritizing the most critical features to ensure uninterrupted operations. Critically, export all necessary data from Keap and back it up securely before starting the migration.
First, export your contacts from Keap as a CSV file. Then, in HighLevel, import the CSV file, mapping the Keap custom fields to their corresponding fields in HighLevel. You'll also need to manually recreate any custom fields within HighLevel's settings. Finally, manually recreate any tags that were used in Keap.
Review all active automations in Keap, documenting the flows and triggers using screenshots or detailed notes. Then, rebuild these automations as workflows in HighLevel, utilizing HighLevel's automation tools to replicate the same logic and functionality. Thoroughly test all recreated workflows to ensure they are functioning correctly after the migration.
Begin by identifying all active pipelines in Keap, including the stages and associated deals. Within HighLevel, create corresponding pipelines with the same stages. You will then need to manually transfer deal information (deal value, stage, associated contacts) for each deal from Keap to the new HighLevel pipelines.
Use HighLevel's Funnel & Website Builder to recreate your Keap landing pages, ensuring the design and content closely match the originals. Recreate any public forms used in Keap within HighLevel, customizing the form fields and settings to capture the necessary information. Ensure form submissions in HighLevel trigger the appropriate tags and workflows, mimicking your Keap setup.
Before canceling your Keap subscription, run both systems in parallel for a transition period to ensure a smooth handover and no disruption to operations. Make a final backup of all your Keap data. Once you are comfortable with HighLevel, officially cancel your Keap subscription. After migration ,evaluate the success of the migration, documenting any challenges faced and lessons learned.
